Director, Grants Administration
Office of Finance and Administration

Implement and maintain overall grants management functions for The New York Academy of Medicine. Responsible for pre- and post- award administration of sponsored programs and projects annually. Coordinate grants management needs of program and research activities of the Academy. Administratively responsible for insuring that all programmatic and financial reporting to funding agencies is completed in a timely manner. Regularly coordinate grant activities with the Director of Finance and report to the Senior Vice President, Finance and Administration on all programmatic and grant management information and issues.

Essential Duties and Responsibilities - Other duties may be assigned

  • Maintains, reviews and recommends ways to improve policies and procedures regarding grants administration.
  • Ensures Academy policies are consistent with, and in compliance of, Federal (Circular A-21, A-110, and A-133), State and Local laws and regulations related to contracts, grants, cooperative agreements and other binding documents.
  • Implements and maintains a grant tracking system with appropriate reporting capability to ensure effective monitoring of Academy grant activity.
  • Maintains grant management of sponsored programs and projects.
  • Develops and maintains systems for subcontractors/sub-recipients.
  • In conjunction with Principal Investigators, develops and monitors all budgets for grants and extramural funding sources.
  • Communicates regularly with Division/Office heads, staff and research grant managers on issues relating to financial management of grants, contracts and restricted funds.
  • Responsible for the ongoing training of administrative staff in divisions and offices to provide high level grant management service.
  • In conjunction with Director of Finance, incorporates grants and other extramural funding into overall Academy financial planning process.
  • Responsible for the implementation, monitoring, and overall coordination of internal control procedures related to grants administration.
  • Advises Senior Vice President, Finance and Administration on regulatory changes and potential liabilities to the Academy.
  • Upholds and protects the integrity and confidentiality of personal and proprietary information.
  • Assists the Senior Vice President of Finance and Administration on special projects as needed.

    Supervisory Responsibilities
    Oversight of all grants management functions in all divisions and offices.

    Qualifications

    Education and/or Experience
    Master's degree in finance or accounting (MA/MBA) desired with three to five years of direct grants administration experience and familiarity with Federal, State and Local regulations affecting sponsored programs and projects administration.

    Language Skills
    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    Other Skills and Abilities
    Possess a technical background in the area of computerized financial systems for sponsored program and project administration. Operating knowledge of DOS based financial software and Windows 2000 environment; ability to develop and maintain databases. Knowledge of Microsoft Excel, Access, Word and PowerPoint is required.
